Rent increase versus keeping a reliable Kuala Lumpur tenant

Avoiding an unnecessary turnover is my main constraint. The Kuala Lumpur apartment rents for about MYR 12,490, while similar units are being advertised near MYR 14,790, but the present tenant has a reliable payment and maintenance record.

A large increase could bring more income if accepted; it could also create vacancy, preparation costs and the risk that the advertised comparison is not achievable. I am leaning toward a renewal offer below the full asking level after checking completed lettings, the rent-review clause and the required notice period. How would you present that compromise fairly while keeping the discussion constructive?
 
The end of the current term sets the timetable, so I would check the agreement before choosing a number. There is a trade-off between narrowing the MYR 2,300 monthly gap now and triggering a vacancy that may cost more than the increase produces.

A moderate renewal figure keeps more options open: the landlord can review again later, while a departed reliable tenant cannot simply be restored. First compare likely turnover, preparation and marketing costs with the additional annual rent, and verify that similar apartments actually secured tenants near MYR 14,790. Any proposal should be written, clearly dated and served with the notice required by the agreement and current local rules.
 
Are those comparable apartments merely advertised at MYR 14,790, or do you have evidence they actually secured tenants near that amount? Asking rent can overstate the achievable figure. I’d also want to know when the current term ends, what its rent-review and notice clauses say, and whether this tenant’s maintenance history has reduced your costs.
 
I partly disagree with treating retention as a reason to keep the rent almost unchanged indefinitely; the gap may become harder to address later. But Elena’s distinction between asking and achieved rent is important. Verify genuinely comparable units, price the likely vacancy and refurbishment period, then offer a written renewal proposal with a clear response date. Before serving anything, confirm the agreement and current Malaysian requirements. If the tenant leaves, document the apartment’s condition and handle the deposit strictly under the agreement and applicable rules.
