Workflow tools for mortgage broking that saved real time

A tool stays on our shortlist only if it cuts work at the handoff between staff or systems. We have trialled lead capture, document management, viewing calendars and transaction-update products, but polished demonstrations have not made the choice any easier.

I want to test whether records pass across without retyping, whether permissions remain intact and whether everyone is working from the latest document. For example, if an address is corrected in one place, staff should not have to fix it again elsewhere. Which connection has genuinely reduced handling time in your workflow?

Support for several countries matters to us, as does commute-time information, although that data is useful only if it feeds into the main client record. I can set out the steps and tools we tested if needed.

Listing imports into the main lead record seem the strongest candidate, provided field mapping is reliable and updates write back rather than creating duplicates. I’d measure a small batch of cases: entry time, corrections and how often staff must open the original system for context.

Which information are you currently re-entering—client details, property data, viewing notes or document status? That answer may identify the most valuable handoff.

I’d be cautious about prioritising listing imports. A fast import can spread stale fields or create version confusion, so Fatima’s test should include changed listings, not just new ones.

Document versioning and transaction updates may save more effort if they preserve an audit history and permissions through the handoff. For the cross-country requirement, run the same sample workflow in each jurisdiction rather than accepting “international” as sufficient. Also test the awkward cases on mobile: replacing a document, restricting access, correcting an address and exporting the history. Commute-time data is useful, but I’d treat it as secondary unless it passes cleanly into the record people already use.
